This Privacy Policy describes the manner in which the Axxonet group — Axxonet System Technologies, India and Axxonet Global Limited, UK (together "Axxonet", "we", "us") — collects, uses, maintains and discloses information collected from users ("Users") of the TrueDocX website and the TrueDocX product ("Site" and "Services"). It follows the Axxonet Group privacy policy published at axxonet.com.
1. Information we collect
We may collect personal identification information when Users visit the Site, register, request a demonstration, subscribe to updates, respond to a survey, fill out a form or otherwise interact with our Services. Users may be asked, as appropriate, for a name, organisation, email address, mailing address and phone number. Users can always refuse to supply personal identification information, except where it is required to deliver a requested Service.
2. Non-personal information and cookies
We may collect non-personal identification information about Users whenever they interact with the Site — browser name, device type and technical connection information. The Site may use cookies solely to enhance the User experience (for example, remembering interface preferences such as theme and language). Users may set their browser to refuse cookies; some parts of the Site may then not function fully.
3. How we use collected information
Axxonet uses Users' information to operate and improve the Site and Services, respond to enquiries and support requests, arrange demonstrations, send service communications the User has requested, and maintain the security of our systems. Authorized employees within the company use information collected from individual customers on a need-to-know basis only.
4. Evidence and case data in TrueDocX deployments
TrueDocX is deployed on customer infrastructure. Case files, exhibits and examination records processed in a laboratory's TrueDocX instance remain on that laboratory's systems, under its control, subject to its own retention and disclosure obligations. Axxonet does not access, mine or transfer laboratory evidence. Where support requires access to a deployment, it occurs under the customer's authorisation, with role-scoped credentials, and is recorded in the deployment's audit ledger.
5. How we protect your information
We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorised access, alteration, disclosure or destruction of personal information and data stored on our systems — including encryption in transit, hardened access control and regular review of our systems and data to ensure the best possible service to our customers.
6. Sharing your personal information
We do not sell, trade, or rent Users' personal identification information to others. We may share generic aggregated demographic information not linked to any personal identification information regarding visitors and users. We may engage service providers to help us operate our business and the Site (such as hosting or communications), limited to those purposes and bound by confidentiality. We may disclose information where required by law or lawful authority.
7. Third-party websites
Users may find content on our Site that links to the sites and services of our partners, suppliers and other third parties. We do not control the content or links that appear on those sites and are not responsible for the practices employed by websites linked to or from our Site.
